IPIQA Holdings Sdn Bhd (“IPIQA”, “we”, “us”), of No S/L 6, Level 4, S3 Curve, Q5B, 93300 Kuching, Sarawak, provides cleaning services through the ipiqa.com website, the IPIQA customer app and the IPIQA Hygienist app for our cleaners. This notice explains, as the Personal Data Protection Act 2010 requires, what personal data we collect, why, who we share it with, and the choices you have.

1. What we collect

If you are a customer:

  • Your account: name, phone number, email address, password (stored only in scrambled form), and, if you choose, your gender and a profile photo. If you sign in with Google, the name and email Google shares with us.
  • Your addresses: the addresses you save or book at, and the pin you place on the map for each.
  • Your bookings: what you booked, when, where, the price, add-ons, coupons, the cleaner you asked for, cancellations, and whether and how you paid. Card and bank details are entered with our payment provider and are not stored by us.
  • Messages, ratings and reports you send about a booking, and questions you ask in the Help Centre.
  • Points, tiers and coupons you earn, redeem and use.

If you are a cleaner, also: your identity document number (to check you may work with us), bank account for payouts, licence, tier and earnings, the areas you work, your days off, your Avoid list, your own offers to past customers, and the photos you take at jobs.

Everyone: the device you use, the app version, a notification token so we can send you notifications, and records of sign-ins and actions we keep for security.

2. Location

  • Customers: we use your location only when you ask the map to find where you are, to place a pin for your address.
  • Cleaners: while you travel to a job, the app reports your position so the customer can see you are on the way. Only the latest position is kept, it is overwritten as you move, and it is deleted when the job completes. When you sort jobs by distance, your position is sent with that request to work out distances and is not stored.

3. Why we use it

  • To take, arrange, carry out and charge for bookings, and to match each booking with a cleaner.
  • To let you and your cleaner see each other’s details for a booking, message each other, and know who is arriving.
  • To process payments, send confirmations, invoices and receipts, and pay cleaners.
  • To run points, tiers, rewards and cleaners’ own offers.
  • To answer your questions and complaints, and to keep the service safe: preventing fraud, misuse and harm.
  • To send you notifications about your bookings and account. Marketing notifications are off unless you turn them on.
  • To meet our legal obligations, including tax and accounting records.

4. Who we share it with

  • Cleaners and customers, for a booking. Before accepting a job, a cleaner sees the customer’s name and gender and roughly where it is; once accepted, the address and booking details. Customers see their cleaner’s name, photo, licence number, tier, gender and rating, and their position on the way. A cleaner’s identity document number is never shown to customers.
  • Service providers who work for us: our payment provider (to take payments), our hosting provider, Google Firebase (to deliver notifications), Google (if you sign in with Google), our email provider (to send emails), map providers (to show maps), and an artificial-intelligence service that helps answer questions asked in the Help Centre. For the Help Centre we send the question and only the account details needed to answer it, such as your recent bookings and prices.
  • Authorities, where the law requires it.

We do not sell your personal data. Some of these providers store data outside Malaysia; we use providers that protect it to a standard comparable to Malaysian law.

5. How long we keep it

We keep your data while your account is open and as long as needed for the purposes above. Booking, payment and payout records are kept for at least 7 years, as Malaysian tax law requires. When you delete your account we remove or anonymise your profile, addresses and photos, and keep only the records we must.

6. Keeping it safe

We protect your data with access controls, encryption in transit, scrambled passwords, restricted access to identity documents (with every staff view recorded), and records of staff actions. No system is perfectly secure; if a breach affects you, we will tell you and the authorities as the law requires.

7. Your choices and rights

  • See and correct your details in the app at any time.
  • Ask us for a copy of the personal data we hold about you, or to correct it.
  • Turn notifications on or off in the app and in your phone’s settings.
  • Delete your account in the app (Profile → Delete account).
  • Withdraw your consent to a use of your data, though we may then be unable to provide the service.

Some details are needed for a booking; without them we cannot take it.

8. Cookies

The website uses cookies as described in our Cookie Policy, and asks for your choice before using any that are not essential.

9. Children

Our services are for adults. We do not knowingly collect personal data from anyone under 18.

10. Contact us

For questions or requests about your personal data, contact us through the Help Centre in the app, or using the details on ipiqa.com, or write to IPIQA Holdings Sdn Bhd, No S/L 6, Level 4, S3 Curve, Q5B, 93300 Kuching, Sarawak. Our Privacy Policy is available in English; ask us if you would like it in Bahasa Malaysia.

11. Changes

We may update this policy. The date at the top shows when it last changed, and we will tell you in the app about significant changes.
